Documentation

This document is for operations staff who have just taken over the admin panel: what each menu is for, what order to do things in, and where mistakes are easy to make. After reading the first four sections, you will be able to list products and revise the homepage independently.

1. Get oriented: what the admin panel looks like

After logging in, the menu tree is on the left, ordered from "most used daily → occasionally used":

MenuWhat it is for
DashboardThe first screen after entering the admin panel; view today's inquiries, visitors, and to-dos
Product Management → Product ListList products, change prices, change inventory, publish or unpublish products
Collection ManagementGroup products into categories / series; determines grouping in navigation and filters
Content Management → Page Management / Blog PostsWrite About Us, policy terms, and blog posts
Theme Editor → Editing WorkspaceChange blocks, copy, and images on the homepage and other pages
Inquiry ManagementView customer messages, mark processing status, and reply
Data InsightsVisitor analysis, spider statistics, indexing statistics, citation statistics, inquiry analysis
AIGEO Agent, GEO Connection, AI Website Health Check, Connect WorkBuddy, Model Configuration
Plugins → Plugin CenterSwitches for capabilities such as multilingual, multicurrency, AI background removal, and Google Feed
Site SettingsSite configuration and system updates
System ManagementUsers, roles, and permissions

If you do not have permission for a menu, do not keep looking for it: if you cannot see a menu, it is usually because it is not checked in your role. Ask the main account to grant permission.

2. List a product (shortest path)

  1. Create the collection first (Collection Management → New), and enter the name and description. How products are grouped in navigation and filters depends on the collection.
  2. Then create the product (Product Management → Product List → Add): title, selling points, images, specifications, price, inventory.
  3. Write the title using the words buyers search for, not internal model numbers; for products in the same series, keep the same core term in the title so they can be found together.
  4. Upload images in order: the first image is the list cover, followed by detail and scene images. If image aspect ratios are inconsistent, they will be cropped on the storefront, so unify them before uploading.
  5. After saving, confirm the status is "Published". Draft status is not visible on the storefront, and search engines cannot read it either.

Changes take effect immediately; no restart and no cache clearing are needed.

3. Change the homepage and pages (Theme Editor)

  • The Editing Workspace is where you change styles: select blocks, fill in copy, replace images, and adjust order.
  • Check mobile first after editing: layouts that look good on desktop often get squeezed into one column on mobile. Switch to mobile preview in the workspace before saving.
  • Before replacing an image, note the original one: if the new image is not suitable, you can switch back; do not directly overwrite the only copy of the asset.
  • Do not casually change the structure of a finalized theme: replacing copy and images only is safe; adding or removing blocks and changing layout count as a redesign, so confirm with us first.

Page title and description (the two lines shown in the browser tab and search results) are filled in separately in Page Management; if left blank, the first paragraph of the body will be used.

4. Multilingual and multicurrency

  • Enable it in Plugins → Multilingual (Content Translation), and complete the entries for each language; positions missing entries will display as empty and will not automatically fall back to English, so click through each language before going live.
  • Language addresses use a prefix format: English is the root path, and other languages are under prefixes (for example, /de/, /ja/). Publishing the same content in different languages means each is an independent copy.
  • Multicurrency is enabled separately in Plugins; product prices are set separately by currency, with no automatic exchange-rate conversion.

5. Receive inquiries and view orders

  • Inquiry Management → Inquiry List: messages sent by customers from the contact page and product pages are all collected here. After handling, remember to change the status (Processing / Replied / Closed); otherwise the to-do on the dashboard will remain pending.
  • Data Insights → Inquiry Analysis: see which countries and products inquiries come from, to decide what to feature in the next batch.
  • Orders on retail sites (B2C) are in the order-related menus; returns and exchanges are handled according to the site's refund policy.

6. View data: visitors, spiders, indexing, citations

ReportWhat to look atHow to use it
Visitor AnalysisHow many people visit each day, where they come from, and which pages they viewJudge whether campaigns and content are working
Spider StatisticsWhether search engine crawlers come and which pages they crawlPages that are not crawled for a long time are mostly pages that are not linked to
Indexing StatisticsHow many pages actually enter search resultsView together with spider statistics; crawling does not equal indexing
Citation StatisticsWhether AI answers cite content from this siteThis is the core GEO metric; look at citations, not clicks

Do not look only at traffic: in the AI search era, many deals start from "being mentioned in an AI answer"; users do not necessarily click into the site. Citation statistics show better than traffic whether content is being used.

7. How to use AI capabilities

  • GEO Agent: generate and optimize content for AI retrieval in batches by topic; generated content remains a draft, so review it manually before publishing.
  • AI Website Health Check: checks page structure, structured data, and readability, and gives items to fix.
  • Connect WorkBuddy: enter the "API address + site token" into WorkBuddy, and AI can directly read and write this site's products, content, theme, and inquiries.
  • AI Model Configuration: enter the model service key and model name.

For the complete steps to connect WorkBuddy, authentication methods, permission matrix, and error codes, see the API documentation.

8. Site settings and system updates

  • Site Configuration: site-wide settings such as site name, domain, contact information, and customer service information.
  • System Updates: update here when a new version is available. Make a backup before updating, and immediately open the homepage and admin panel after updating to confirm there are no issues before continuing to use it.
  • The storefront should be accessible at all times. If it cannot be opened, do not keep clicking; contact technical support directly and provide the time when the problem occurred.

9. FAQ

SymptomCommon causeWhat to do
Content changed but the storefront did not changeYou changed a draft, or changed a version that is not currently activeConfirm the status is "Published", then refresh the storefront again
Layout looks broken on mobileThe block is not adapted to narrow screensSwitch to mobile preview in the Editing Workspace and change side-by-side blocks to stacked blocks
A page in a certain language is emptyThe entries or content for that language have not been filled inComplete them in the multilingual plugin; missing entries will not automatically fall back
New pages cannot be seen in search resultsThey have not been crawled yet, or there are no links to them from elsewhereWait for crawl records to appear in spider statistics; also provide an entry point from navigation or articles
AI connection returns 401The token is incorrect, or the token has been resetGo back to the "Connect WorkBuddy" page and copy the token again

10. Three suggestions for operations

  1. Write clearly first, then talk about optimization: a body of text that lets buyers understand "what problem you solve" is far more useful than stuffing keywords.
  2. Each page should cover only one topic: a page stuffed with multiple topics makes it hard for both AI and people to grasp the key point.
  3. Keep a record of changes: what was changed, when it was changed, and why; looking back after a month will save a lot of time.
